Terms & Conditions

These terms apply to every expedition organised by Meredian Expeditions. By confirming your booking, you agree to these Terms & Conditions. Please review them carefully before proceeding.

Booking and payment

A booking is confirmed once we receive a signed booking form and the deposit stated in your proposal. The balance is due no later than 60 days before departure unless agreed otherwise in writing.

If the outstanding balance is not paid by the specified deadline, we may cancel the booking and apply the cancellation charges below.

What the price includes

The price covers the services listed as included on the expedition page and in your proposal — typically vehicles, fuel, accommodation, meals, guiding, support crew and activities. International flights, visas, insurance beyond the included medical cover, personal expenses and anything not listed are excluded.

Cancellation by you

All cancellation requests must be submitted in writing. The following charges apply as a percentage of the total price: more than 90 days before departure — loss of deposit; 90–61 days — 50%; 60–31 days — 75%; 30 days or less, or no-show — 100%.

You may transfer your place to another qualifying driver or passenger, subject to our approval and any costs charged by our partners.

Changes or Cancellation by the Organiser

Off-road expeditions depend on weather, terrain and local conditions. The expedition leader may change the route, schedule or accommodation at any time for safety reasons; this is not a breach of contract.

If we must cancel an expedition before departure, you may choose a full refund of all money paid or a place on an alternative date. We are not liable for flights or other arrangements you booked independently.

Drivers and vehicles

Every driver must hold a valid full driving licence (and an international driving permit where required) for at least three years. You must follow the instructions of the expedition leader at all times.

Driving under the influence of alcohol or drugs, reckless driving or leaving the agreed route will result in removal from the expedition without refund. You are responsible for any damage to vehicles caused by negligence, up to the excess stated in your proposal.

Health, fitness and insurance

Expeditions involve remote areas, long driving days and extreme climates. You must tell us about any medical condition that could affect your participation.

Medical insurance is included as specified in the confirmed expedition programme. Responsibility for the vehicle during the expedition is set out in the participation terms provided before departure, and we recommend considering additional personal travel cover.

Liability

We select our partners carefully and take reasonable care in delivering your expedition. We are not liable for loss, injury or damage caused by your own actions, by third parties unconnected with the expedition, or by events beyond our reasonable control such as natural disasters, extreme weather, political unrest or government action.

Nothing in these terms limits liability that cannot be limited by law.

Complaints and governing law

If you experience any issues during the expedition, please inform your expedition leader promptly so they can be addressed as soon as possible. Any further complaint should be sent in writing within 28 days of your return.
